Administrative & Operations Manager/Executive
(Full-Time)

We are seeking a dynamic and highly-detailed Administrative & Operations Manager/Executive who will manage and implement daily administrative tasks and ensure the smooth functioning of the company's operations.

 

The Administrative & Operations Manager/Executive will report to the General Manager and work closely to manage the administrative and operational aspects of the company’s human resources, liaise with vendors and service providers, and also be responsible for ticketing administration and front-of-house operations during the company’s productions and other programmes.

Key Responsibilities

  • Manage the day-to-day administrative operations of the company, including handling correspondence via snail mail, phone calls, phone messages and emails, maintaining office and studio supplies and equipment, and ensuring the smooth and efficient functioning of the company's administrative systems.

  • Manage the company's physical facilities and digital infrastructure, including scheduling services to upkeep and maintain the company’s studio and office, and monitoring the utilisation and effectiveness of the company’s digital hardware and software. 

  • Assist the General Manager in the management of the company's human resources, including administrative and research work required for recruitment, training opportunities and charting the growth of each staff member, managing benefits such as insurances and leave records, and regular updating of metrics and appraisal forms to manage staff performance.

  • Liaise with vendors and service providers to obtain quotations, negotiate agreements, prepare invoices, and ensure the timely delivery of goods and services.

  • Manage and execute ticketing administration and operations required for the company’s programmes, which include working with ticketing agents or using existing ticketing platforms to prepare the various ticket types for each programme’s sales launch, tracking and reporting ticket sales on a weekly basis, and coordinating with the communications department to maximise ticket-buyers’ usability and to monitor ticket sales revenue.

  • Manage and prepare guest lists for the company’s programmes, track RSVPs and coordinate with the various departments within the company to fulfil ticket allocations for guests—which include key stakeholders such as board directors, collaborators, members, donors and sponsors—as well as fulfil ticket allocations for school bookings and group bookings.

  • Manage and execute front-of-house operations for the company’s programmes, including the recruiting of volunteers and the rostering of manpower to create an inviting environment and a pleasant audience experience that aligns with the company’s branding and identity.

Requirements

  • At least 2 years of experience in arts management, preferably with a focus on administration and operations.

  • Strong organisational, administrative and time-management skills.

  • Meticulous attention to detail.

  • Excellent interpersonal and communication skills, with an ability to connect with people from all walks of life.

  • Strong sense of responsibility and proactively takes initiative.

  • Ability to work independently and collaboratively in a small team environment.

  • High level of proficiency in Microsoft Office Suite or its Mac equivalent.

  • Appreciation of contemporary dance.

Working Conditions

  • This is a full-time role. Please note that the position title (Manager or Executive) will be determined based on the candidate's level of experience. 

  • The company’s general working hours are 10:00AM—7:00PM from Mondays to Fridays. However, during periods when the company has productions or other programmes, you may be required to adjust your work hours to work evenings and weekends.

Compensation

  • Manager: SGD3,200—SGD4,100 per month

  • Executive: SGD2,700—SGD3,100 per month
